Who we are
IFS Consulting Services LLP, # 815, 8th Floor, RR Towers-5, Thiru-Vi-Ka Industrial Estate, Guindy, Chennai, Tamil Nadu 600032, India. We prepare and track the documentation behind NSDL and CDSL demat and trading accounts. In this note "we" and "us" mean IFS Consulting Services LLP, and "you" means the person whose details we hold, whether that is an enquirer, a client, a director, an authorised signatory or a nominee named in an application.
We handle personal data in line with the Digital Personal Data Protection Act, 2023 and the record keeping obligations that apply to KYC documentation.
What we collect
When you send an enquiry through this website
- Your name and, if you give it, your company name
- Your phone number and email address
- Your city, the type of account you are asking about and the service you need
- Anything you write in the message box
The enquiry form asks you to tick a box before it is sent. That tick is your consent, and we record the date and time of it with your enquiry.
When you become a client
- Identity and address details: name, date of birth, father or spouse name, gender, marital status, nationality and residential status
- Identification numbers required on the forms, such as PAN, Aadhaar based verification details, passport, visa and tax identification numbers
- Contact details, bank account details and the proofs that go with them
- Financial and occupation details that the depository forms ask for, including income bracket and trading experience
- Nominee details, and for corporates the details of directors, authorised signatories, shareholders and ultimate beneficial owners
- Copies of the supporting documents you give us, and the signed forms themselves
- In person verification records where the depository requires them
We collect this because the depository forms and the KYC rules ask for it. We do not ask for more than the forms need. If you give us a document we do not need, we tell you and we do not keep it.
Automatically
Our server records the IP address of an enquiry so that the form cannot be abused by automated submissions, and it keeps ordinary technical logs of page requests. The Google Maps panel on the contact page is loaded from Google and is subject to Google's own privacy terms.
Why we collect it
- To answer your enquiry and tell you which documents apply to you
- To prepare, check and submit your account opening application and the KYC forms that go with it
- To follow the application through to the account being live, and to help with later changes such as nominee, address or segment updates
- To keep the records that the depository participant, the depositories and the KYC rules require us to keep
- To answer questions from you about your own file
We do not sell your information, we do not share it for anyone else's marketing, and we do not send marketing messages of our own.
Who we share it with
- Aditya Birla Money Limited, the SEBI registered stock broker and depository participant through which accounts are opened
- NSDL and CDSL, the depositories, and the Central KYC Records Registry, as part of the application
- Statutory and regulatory authorities, where they require it by law
- Service providers who host our systems and provide the software we work in, under terms that require them to protect the data and use it only for us
Nobody else receives your information without your agreement.
How long we keep it
Client documentation and the related records are kept for the period the KYC and depository rules require, counted from the end of the relationship. Enquiries that do not become clients are kept for up to two years so that we can pick up the conversation if you come back to us, and are removed after that. You can ask us to remove an enquiry sooner.
How we protect it
- Access is limited to the members of our team who work on your file, and each of them has their own login
- Our system records who opened or changed a record, and when
- Data is held in access controlled storage, and documents are not sent to personal drives or consumer file sharing accounts
- Paper documents are held at our office and returned or destroyed when they are no longer needed
No system is perfect. If something goes wrong with your data, we will tell you and the authorities where we are required to.
The client portal
If we give you a login to the IFS portal, you see one record, which is yours. You can fill and correct your own details there, and our team reviews what you enter. The portal keeps a sign in token in your browser so that you stay signed in while you work, and that token is cleared when you sign out. Please keep your client code and password to yourself, and tell us straight away if you think somebody else has them.
Cookies
This website does not use advertising or tracking cookies, and there is no analytics tag on it. The portal stores a sign in token for the length of your session, which is needed for it to work at all. The embedded Google map may set cookies of its own when it loads.
Your choices
- Ask us what we hold about you, and ask for a copy
- Ask us to correct anything that is wrong or out of date
- Withdraw your consent to being contacted about an enquiry, and ask us to remove the enquiry
- Ask us to remove client records, where we are not required to keep them
- Nominate somebody to act for you in these matters if you are unable to

If you are not satisfied with our answer, you may take the matter to the Data Protection Board of India.
Changes to this note
If we change how we handle your information we will update this page and change the date at the top. Material changes affecting clients will also be sent by email.
